Resolved System Issues Log

Below is a list of system issues and bugs that have been responded to. If you continue to experience issues with any of these, please contact the eIRB help desk. The IRB office and the vendor continue to work on outstanding issues and this page will be updated periodically. 

 

  1. Addressed the integration issue related to CITI training data
    • Note: Addition of the new GCP training course is in progress
    • Note: Some issues remain in relation to course name discrepancies. A long-term fix is planned for this but you may email the CITI Help Desk for us to manually update your record on all projects.
  2. Manually updated the integration data in the organizational hierarchy to ensure accurate department chair routing
  3. Reduced the number of system-generated notification emails
  4. Deactivated reliance agreement auto-expirations to avoid issues with scheduling in the Penn Medicine CRMS.
  5. Corrected visibility of some Ancillary Committee review questions for reliance agreements
  6. Removed tasks associated with archived protocols
  7. Corrected visibility of annual check-in button when requesting to reopen a reliance agreement
  8. Resolved critical bugs:
    • PDF report download error;
    • Resolved issue with personnel modification screen grayed out;
    • Addressed issue with PIs receiving error messages upon reviewing protocols;

 

5/19/2026 Update

  1. Corrected issue where the Penn logo is exceeding large for some outlook accounts.
  2. Corrected an issue where the system sent a task to complete CITI training even when it was already documented as completed. 
  3. In the relying site records, researchers that are listed as “Study Contacts” but without edit access were given access to view the relying site record page.
  4. Corrected an issue preventing the Penn sIRB contact from editing relying sites.
  5. Corrected an issue that did not permit changing someone previously listed as the Regulatory Sponsor as another member of the research team
  6. When adding new personnel, edited the upload field for training materials to allow more than one uploaded document. 
  7. Updated automatic notifications that announce the change in status of a protocol to only be sent to designated study contacts. This includes automatic email letters for exempt amendments, local context amendments, annual check-in acknowledgements, and exempt closures. 
    • This change will be expanded to other communications at a later date.

 

7/23/2026 Update

  1. The system timeout period due to inactivity has been reduced from 60 minutes to 20 minutes. This is to help lessen the issue in which individuals perform a task, do not exit the protocol, and then are otherwise inactive. This inactivity period applies to the entire system (including RIA, PIERS, and Sponsored Projects. Thus, it is still important to close protocols when you have finished viewing or completing a task. 
  2. Corrected a visibility issue within the Not Human Research application in which questions were visible that should not have been visible. 
  3. Implemented a fix to ignore expiration dates in eIRB for Human Subjects Research Curriculum to minimize notices of incomplete training. 

 

7/29/2026 Update

  1. Corrected an issue where relying site personnel were receiving emails when the sIRB parent record was approved. 
  2. Added the updated GCP course records to eIRB.
  3. Updated the Add Relying Site button to always be available to users with edit access to the protocol 
  4. Updated the Annual Check-In and Closure Forms fix an issue where clicking Save submitted the form. The form now has a save draft option along with a submit button. 
  5. Added an option for permissions at the departmental level. 
  6. Updated all upload fields to state the file size limit.
  7. Fixed an error when users attempted to download the application as a PDF. 
  8. Corrected an error in the visibility of the upload field in the Add Personnel Modal form
  9. Corrected an issue where inactive protocols were showing up in the multi-protocol personnel addition tool. 
  10. Added validation message to instruct the user to use a different email address if a relying site PI has affiliations at multiple different sites. The same email address cannot be used.
